Information you choose to send
When you request a proposal, we collect the contact and event details you enter, such as your name, email or phone number, event type, preferred date, estimated guest count and planning notes. We use that information to respond to your request and coordinate related venue, catering, event-service and hotel needs.
Delivery and storage
The website saves a limited local copy of each submission so it can be delivered reliably to RunTower, our event-management system. Under the default website retention schedule, delivered local copies are removed after 30 days and undelivered copies are removed after 180 days. RunTower may retain the working lead record so the event team can continue the conversation. Service providers involved in hosting, security and lead delivery process information only as needed to support those functions.
Form protection
To limit automated abuse, the server creates a short-lived, daily rotating security code from the network address used to submit the form. The raw network address is not saved in the lead record, and expired rate-limit records are routinely removed.
Website measurement
Essential website features work without analytics. If Google measurement is enabled by the venue, it loads only after you choose “Allow measurement.” You can change that choice from the “Privacy choices” link in the footer.
Your choices
You may contact us to ask about a proposal submission or request a correction. Do not include payment-card numbers, medical information, government identification numbers or other sensitive information in the proposal form. For questions, email events@hilongview.com or call 903-663-6464.
